Job Vacancy: Part-Time Office Administrator at Bristol Charity, FRANK Water

Bristol Charity, FRANK Water, currently has a job vacancy for a super organised, highly talented administrator to join its team in Central Bristol.

The job vacancy is part-time, at least 21 hours a week and hours are flexible. Salary is £18k – £21k pro rata, depending on experience, and includes a pension.

FRANK Water is a Bristol based social enterprise and international development charity with a vision of sustainable access to safe water for all.

The charity’s international mission is to deliver sustainable access to water, sanitation and hygiene (WASH) for the hardest to reach people in India and Nepal. It is committed to developing emergent, adaptive strategies, models and approaches for maximum impact and longevity, improving health and wellbeing and saving lives.

FRANK Water’s UK mission, delivered through its award-winning social enterprise is to raise visibility of, and funds for, its international WASH programmes through ethical, sustainable business practice. Raising funds, challenging behaviours and gaining visibility through retail of water related products and innovative environmental services in the UK.

The charity changes behaviours and works to advance knowledge through educating and influencing on WASH both in the UK and in India and Nepal.

Job Purpose

As the Office Administrator at FRANK Water you will be an integral part of a small team with a full and varied role.
You’ll be looking after many of FRANK Water’s underlying systems and supporting a team of seven other (predominantly part-time) staff members, enabling them to be as efficient and effective as possible, maximizing their impact.

The overall purpose of the job is to provide comprehensive administrative and financial management support to FRANK Water’s work in India, Nepal and the UK. From organising office space and keeping books in impeccable order, to nurturing the supporter database and being the incredibly critical first point of contact, this is an incredibly diverse role!

You will play a central role in the business, working closely with every member of the team.

You’ll develop ways to help the team become even more productive and build and rebuild systems as the charity grows in the coming years. You’ll be an enthusiastic, super organised, creative self-starter.

⦁ Undertaking general office duties to include dealing with the post, responding to general enquiries usually via telephone or emails, and maintaining the office premises.
⦁ Maintaining office management systems including: paper-based and computer filing systems, correspondence/reports/e-mails/phone.
⦁ Ensuring the office runs smoothly including computers, printer, internet etc, by managing external support contracts and keeping the stationary cupboard stocked.
⦁ Contributing to a positive, innovative and inspiring work culture.

Fundraising
⦁ Administering and maintaining a healthy donor database
⦁ Compiling and mailing fundraising packs and appeals as well as ensuring all our fundraisers are thanked in writing
⦁ Monitoring, processing and posting all refillable bottle/cup orders

Communications
⦁ Providing assistance to the Communications Manager to ensure the website is up to date
⦁ Supporting all aspects of digital marketing using FB, Twitter, Instagram, Linked In, Google Analytics and newsletters
⦁ Supporting in ensuring all staff and processes are compliant with GDPR

Financial support
⦁ Weekly bank reconciliation using QuickBooks online
⦁ Ensuring that accurate income and expenditure records are kept
⦁ Collating, recording and ensuring bills are paid and payments received on time
⦁ Being responsible for banking and petty cash
⦁ Ensuring that all digital records are regularly and adequately backed up
⦁ Processing Gift Aid claims and supporting in managing online giving platforms
